The Clinical Research Funding Coordinator will collaborate with the Principal Investigator (PI), research coordinators, and additional research personnel to prepare and submit applications for federal, industry, and non-federal clinical trial and basic science funding. This role acts as a bridge between departmental research teams and the Office of Research Administration, as well as Purchasing, Research Billing, and Finance departments.

This position typically encompasses all pre- and post-award administrative responsibilities, including but not limited to, ensuring that internal documents are prepared and routed for necessary approvals, monitoring grant accounts, tracking expenditures, providing financial reconciliation for grants, and generating research-related financial reports. The role ensures adherence to all federal, state, and local regulations, including those set forth by the National Institutes of Health (NIH), Department of Defense (DOD), Food and Drug Administration (FDA), and the Institutional Review Board. The incumbent will report to the Research Program Administrator for daily supervision.

Key Responsibilities:

  • Oversees Time & Effort for precise reporting and executes necessary funding adjustments through direct cost transfer requests (DCTRs).
  • Identifies potential funding opportunities for research initiatives.
  • May engage in budget negotiations for clinical trials.
  • May assist with billing for research participants.
  • Upholds research practices in accordance with Good Clinical Practice (GCP) standards.
  • Maintains strict confidentiality of patient information in compliance with HIPAA regulations and applicable laws.
  • Participates in mandatory training and educational programs.
  • Collaborates with the principal investigator to finalize and prepare submissions for federal, non-federal, and foundation grants.
  • Assists in budget formulation and the entry of financial data into federal systems.
  • Contributes to the development of financial forecasts for project account management.
  • Supports the creation and submission of progress reports.
  • May assist in preparing and submitting documentation necessary for research compliance.
  • Provides support to the Research Program Administrator and leadership on additional tasks as assigned.

Department-Specific Responsibilities:

  • Evaluates research protocols to determine resource requirements, procedural needs, clinical research staff time, investigator time, and costs from ancillary departments.
  • Establishes cost allocation, negotiates budgets, details budgets, and is accountable for monitoring and invoicing.
  • Processes Ancillary Agreements with departments providing research services.
  • Monitors study accounts to ensure expenses are appropriate and within expected limits, reconciles accounts receivable and payments, and addresses any deficits or surpluses.
  • Negotiates with sponsors regarding final payments due for account closure. Conducts quality reviews and/or audits of clinical trial budgets.
  • Acts as a point of contact for financial inquiries and engages management as necessary.
  • Meets regularly with research programs to review financial portfolios.

Qualifications

Education:

  • High School Diploma is required.
  • Bachelor's degree is preferred.

Experience and Skills:

  • A minimum of one year of experience in the administration of research grants.
  • Experience collaborating with research teams, the Office of Research Administration, Finance, Purchasing, and Academic Administration is highly preferred.
  • Exceptional verbal and written communication skills, with a solid understanding of Grants, Manuscripts, and Abstracts guidelines.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and related applications is required.
  • Demonstrated ability to create and utilize Excel spreadsheets for budget and data tracking is strongly preferred.
