The Opportunity

We are seeking a dynamic and detail-oriented Business Operations Specialist to join our Spokane office. As the first point of contact, you will be responsible for delivering exceptional administrative support and creating memorable first impressions.

Key Responsibilities
  • Be the welcoming face and heartbeat of our office, answering incoming calls, greeting visitors, and ensuring they feel welcomed and directed to the right place.
  • Maintain front desk excellence, keeping the area organized and spotless, creating a positive environment for everyone.
  • Play a key role in organizing client events, internal office events, and project celebrations.
  • Handle mail and deliveries with precision, receiving, sorting, and scheduling pickups.
  • Keep track of visitor logs, issue badges, and notify team members of visitor arrivals.
  • Provide stellar customer service, building strong partnerships with internal clients.
  • Assist with projects and administrative tasks, supporting our Facilities team.
  • Collaborate and communicate with various departments to achieve shared business goals.
  • Actively reach out and connect with departments and regions to foster a cohesive work environment.
  • Utilize Microsoft Office Suite to create, manage, and organize documents, spreadsheets, and presentations, contributing to smooth business operations.
Requirements
  • Possess a passion for the architecture, engineering, accounting, consulting, or other professional services industry.
  • Demonstrate strong attention to detail, time management, and organizational skills.
  • Proven ability to learn quickly and build strong relationships.
  • Experience providing business support in a large matrixed organization or multi-office environment is strongly preferred.
  • Proficient with Microsoft products, including Word, Excel, PowerPoint, and Outlook, required.
  • Some experience with SharePoint is preferred.
