Job Description

Administrative Assistant

Key Responsibilities:

  • Schedule and manage medical examination programs as the central point of contact.
  • Enter relevant medical information into electronic health records.
  • Respond promptly to inquiries and redirect them to other team members as needed.
  • Compile monthly medical and appointment statistics.
  • Compose letters, memos, and reports for department-related issues, handling correspondence effectively.
  • Schedule appointments, manage calendars, and update patient records.
  • Coordinate meetings, conferences, and other events.
  • Maintain a secure and comprehensive filing system for medical records.
  • Copy, scan, and fax documents related to medical examinations and results to relevant databases like electronic medical records.
  • Generate expense reports for CTREX.

Requirements:

  • 2+ years of experience in an office support or administrative role.
  • Intermediate proficiency with Microsoft O365 applications: Excel, Outlook, PowerPoint, SharePoint, Teams, and Word.
  • Effectively transmit information to ensure it is received and understood as intended.
  • Manage tasks to complete work responsibilities efficiently and effectively, both personally and for others.
  • Strong teamwork skills, committed to safety, environmental, and regulatory compliance.
  • Ability to prepare accurate and legible reports.
