Position Overview

The Procurement Specialist plays a vital role in acquiring materials, supplies, and services under the most advantageous conditions for the organization. This position involves vendor qualification, bid evaluation, and price negotiation for goods and services. The Specialist is responsible for tracking purchases, monitoring vendor performance, and maintaining an up-to-date vendor database.

Key Responsibilities include, but are not limited to:

  • Purchasing assigned commodities while utilizing negotiation skills to secure competitive pricing without compromising quality standards and delivery timelines.
  • Establishing and nurturing productive relationships with vendors.
  • Documenting and recording cost savings within the system, including both tangible and intangible savings.
  • Organizing and maintaining all documentation and quotes for auditing purposes, along with Purchase Order confirmations.
  • Conducting follow-ups on open orders and assessing supplier quality and delivery performance.
  • Collaborating with the Shipping and Receiving department to coordinate the transportation of purchases.
  • Creating and managing Return Merchandise Authorizations (RMAs) in case of issues.
  • Working with Accounting and Shipping departments to facilitate the return of RMAs.
  • Inspecting returned or exchanged merchandise and coordinating with inventory control to optimize inventory levels.
  • Complying with Quality Systems and engaging in continuous improvement initiatives.
  • Maintaining regular and predictable attendance as a fundamental aspect of this role.

Qualifications

To excel in this position, candidates must demonstrate the ability to fulfill each essential duty effectively. The following qualifications are representative of the knowledge, skills, and abilities required:

Education and Experience

An Associate's degree (A.A.) or equivalent from a two-year college or technical institution; or five years of relevant experience and/or training; or a combination of education and experience.

Technical Skills

Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

Communication Skills

Ability to compose routine reports and correspondence. Effective verbal communication skills are necessary for presenting information to groups of customers or employees.

Mathematical Skills

Capability to perform calculations involving discounts, interest, commissions, proportions, and percentages. Familiarity with basic algebra and geometry concepts is essential.
