Job Overview

: The role of the Archival Reference Specialist involves performing essential archival reference duties. This position requires conducting thorough research and providing necessary information and materials in response to inquiries. The specialist will operate under moderate supervision, exercising limited initiative and independent judgment.

Key Responsibilities
- Deliver fundamental information and reference support to patrons of the Texas State Archives through various communication methods.
- Engage in the formulation of program objectives and goals relevant to the assigned area.
- Uphold security regulations within the reference room.
- Review records for information exempt from disclosure and assist in the redaction of sensitive materials.
- Facilitate archival workshops and seminars for both staff and patrons.
- Prepare or update inventories, indexes, and finding aids to enhance access to records.
- Perform related duties as assigned.
- Maintain regular attendance in accordance with agency policies.
- Adhere to all applicable agency regulations and procedures, including safety and conduct standards.

Additional Responsibilities
- Participate in special projects as needed.
- Assist in the development and preservation of collections.
- Contribute to the preparation of reports, manuals, and publications.
- Support tours, orientations, workshops, and presentations regarding holdings.

Required Qualifications
- Master’s degree from an accredited institution in history, government, library science, or a related field.
- Experience in providing archival reference assistance using original records or manuscript collections.
- One year of public service experience in a library or archival environment.
- Proficiency in word processing, database, and spreadsheet software.
- Familiarity with state and local government records.
- Understanding of library and reference tools, techniques, and services.
- Knowledge of standard research sources and computer-assisted search methods.

Preferred Qualifications
- Experience in providing professional reference assistance with genealogical resources.
- Familiarity with state and federal government publications.
- Experience handling requests under the Texas Public Information Act.
- Knowledge of standard archival processing techniques.
- Strong understanding of U.S. and Texas history and government.
- Additional coursework or a master’s degree in Texas history or U.S. government.
- Experience delivering presentations to diverse groups.
- Familiarity with the SIRSI integrated library system.
- Coursework in archival administration.
- Certified Archivist designation.
- Proficiency in Spanish or German is a plus.

Skills and Abilities
- Ability to manage multiple tasks and set priorities effectively.
- Strong writing skills for reports and documentation.
- Effective oral and written communication skills.
- Capability to conduct public presentations.
- Ability to handle multiple reference inquiries in a high-pressure environment.
- Proficient in conducting detailed historical research.

Working Conditions
- Standard office environment with potential exposure to dust and allergens.
- Primarily sedentary but may require moving, standing, and performing tasks that involve fine motor skills.
- Ability to work extended hours at a computer and travel as necessary for training and meetings.
