Responsibilities
  • Calendar Management: Maintain and organize executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.
  • Communication: Act as a primary point of contact for a limited number of clients, providing exceptional communication skills and the ability to interact professionally with individuals at all levels.
  • Document Preparation: Assist in preparing and editing reports, presentations, and other documents, ensuring accuracy and attention to detail.
  • Travel Arrangements: Arrange travel logistics, including flights, accommodation, and transportation, ensuring seamless execution.
  • Expenses: Manage expense reports and reimbursements, maintaining accurate records and ensuring compliance with company policies.
  • Task Prioritization: Prioritize tasks effectively to meet deadlines and ensure efficient workflow.
  • Problem Solving: Proactively identify and address issues, providing solutions and recommendations as needed.
  • Seminar Coordination: Seminar confirmations and invoicing, preparing and shipping learning materials, organizing catering, working with outside vendors, registering seminar attendees.
Qualifications
  • Proven experience as an executive assistant or in a similar role.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy, committed to delivering high-quality work.
  • Excellent communication skills (written/verbal) and ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft 365, QuickBooks, and other relevant software applications.
  • Ability to work independently with minimal supervision.
  • Flexibility and adaptability to changing priorities and deadlines.
