Position Summary

ARS-Rescue Rooter is a prominent player in the service sector, seeking an Installation Scheduler and Coordinator to enhance our operations. In this role, you will facilitate the scheduling of installation projects and manage administrative tasks to ensure timely commencement and completion of work with minimal disruptions. You will also maintain comprehensive records and data regarding the tasks performed, while fostering positive customer relations by addressing inquiries and concerns.

Key Responsibilities

  • Handle incoming calls from clients and coordinate service or installation timelines.
  • Prepare necessary documentation and input data to activate and schedule work in the system.
  • Compile materials lists for scheduled projects and coordinate orders and deliveries with relevant departments or vendors.
  • Receive work orders and enter data into the system for accurate billing of completed tasks.
  • Communicate effectively with clients and team members via phone, email, and written correspondence to address inquiries and resolve issues.
  • Develop employee schedules based on workload demands.
  • Generate regular reports on ongoing jobs, backlog revenue, and other departmental metrics.
  • Coordinate inspections post-completion of work and liaise with inspectors to manage any failed inspections and necessary corrective actions.
  • Maintain records such as permits and completed inspections related to job orders.
  • Keep in radio contact with personnel involved in new construction projects.
  • May provide estimates for specific job types over the phone and schedule sales appointments.
  • May handle invoicing for completed work, process lien forms or releases, and follow up on overdue payments.

Qualifications

  • High school diploma or GED equivalent is required. Relevant experience and/or advanced training, or a combination of education and experience, may be considered.
  • Experience in customer service and/or dispatch roles.
  • Excellent communication and interpersonal skills.
  • Strong multitasking abilities, attention to detail, and follow-up skills.
  • Proficient in computer usage and data entry.
  • Flexibility to work a varied schedule, including weekends.
  • Knowledge of air conditioning, heating, and/or plumbing systems is advantageous.
