Job Summary

We are seeking a highly organized and detail-oriented Real Estate Services Administrator to join our team at AA2IT. As a key member of our Real Estate Management Team, you will provide administrative support and assistance to our staff, ensuring the smooth operation of our property management functions.

Key Responsibilities
  • Provide general administrative support to the Real Estate Management Team, including phone support, correspondence, expense reporting, calendar management, and meeting coordination.
  • Maintain accurate and up-to-date records of tenant, vendor, and property information, including insurance certificates and lease abstracts.
  • Assist with tenant and vendor customer service, responding to inquiries and resolving issues in a timely and professional manner.
  • Perform a variety of administrative tasks, including data entry, filing, and copying, as needed.
  • Collaborate with Building Technician staff and vendors to compile maintenance lists and coordinate work assignments.
  • Coordinate and monitor the status of work assigned to vendors, ensuring timely completion and resolution of issues.
  • Assist with budget preparation, researching costs for supplies and services and obtaining bids as directed.
  • Prepare and distribute tenant newsletters and other communications, as needed.
  • Administer accounts payable and accounts receivable, coding invoices for payment and inputting data into the accounting system.
Requirements
  • High school diploma or general education degree (GED) and a minimum of three years of related experience and/or training.
  • Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence, and respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Ability to effectively present information to an internal department and/or large groups of employees.
  • Basic knowledge of financial terms and principles, and ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations, and solve problems in standard situations.
  • Basic analytical skills and intermediate to advanced skills with Microsoft Office Suite.
Working Conditions

This is a full-time position, working approximately 40 hours per week. The successful candidate will be required to work in a fast-paced office environment, with frequent interruptions and deadlines. The position may require occasional travel to off-site locations, as needed.
