Job Title: Administrative Specialist I

The Building People, LLC is seeking a highly skilled Administrative Specialist to support our federal client. This role is a cross-functional position on our team, primarily supporting the Security Team and their stakeholders.

Key Responsibilities:
  • Support day-to-day activities and workflow of sub-office teams.
  • Track and manage a large volume of ongoing security actions and data, providing timely responses to information requests.
  • Manage Outlook calendars to schedule meetings and book conference rooms using the conference room request tool or set up virtual meeting spaces using popular platforms.
  • Coordinate onboarding, equipment, and service requests using EERE tools and resources, including CSC, Days, and EITS, and other relevant DOE systems.
  • Provide onboarding and offboarding support to team members.
  • Provide note-taking support for office meetings.
  • Process honorariums.
Requirements:
  • Four (4) years of relevant experience.
  • B.S. or B.A. in a related discipline; four (4) years of experience may be substituted for Bachelor degree requirement.
  • Authorized to work in the United States with no restrictions.
  • Strong working knowledge of Microsoft Office software, including Outlook and Teams.
  • Working knowledge of computer software utilized in project/program data collection and analysis.
  • Ability to handle confidential and sensitive information with discretion.

  • Demonstrated strong verbal and written communication skills.
  • Ability to perform both as an individual contributor as well as a member of the diverse team.
  • Ability to be proactive and create a positive experience for others.
  • Ability to manage multiple tasks and ensure all major priority items are accomplished on time and according to plan.
  • Ability to adapt to shifting priorities and urgent requests.
  • Attention to detail.
  • Experience obtaining, verifying, and evaluating general and quantitative information.
