Job Title: Administrative Specialist Job Summary: We are seeking an experienced Administrative Specialist to provide high-level administrative support to our Front Office Personnel at Naval Sea Systems Command (NAVSEA), SEA 03. The successful candidate will be responsible for scheduling meetings, managing calendars, arranging travel and lodging, and ensuring proper security protocols are followed. Key Responsibilities:
  • Schedule meetings and manage calendars to ensure seamless coordination and communication.
  • Arrange travel and lodging via the Defense Travel System (DTS) and ensure compliance with security protocols.
  • Plan events for Front Office Officials as directed, including preparing organized read-ahead binders with relevant information.
  • Manage timeliness, accuracy, and maintenance of published content, including postal, official mail, and other services.
  • Coordinate, perform, and manage a variety of office management tasks and activities, including clerical, security, and general administrative duties.
  • Ensure accuracy of information in personnel and manpower database systems.
  • Perform research, interview personnel, and prepare analytical historical publications, as well as assemble and maintain historical document repositories.
Requirements:
  • A minimum of five years of experience providing Flag Officer/Executive administrative support within the federal government or military environments.
  • Excellent oral and written communication skills, with strong Customer Service skills.
  • Working knowledge of DTS to submit travel orders.
  • Ability to work under direction and independently, be self-motivated, and result-oriented.
  • Ability to multi-task and organize work and schedules to adjust to multiple and evolving priorities.
  • Detail-oriented and exhibit creative problem-solving skills.
  • Skill with MS Office applications (Word, Excel, PowerPoint, SharePoint, Teams, etc.).
  • Serve as a team player and able to work with military personnel, government civilians, contractors, and administrative teams.
  • Must be a U.S. citizen.
  • A secret security clearance.
Education:
  • Bachelor's Degree in a related field.
  • Professional experience that exceeds the minimum required may be considered as the equivalent of the degree requirement.
