Position Overview


The Service Operations Manager is responsible for ensuring a well-trained service team to meet client demands; mentoring and assessing service personnel as necessary; collaborating with suppliers and clients on any matters requiring attention; and offering assistance to parts, billing, and sales teams on service-related inquiries.

Key Responsibilities

Essential duties include, but are not limited to:

- Overseeing daily operations of the Service Department.

Including monitoring daily attendance of assigned personnel, reviewing completed service calls with team members, and confirming employee status towards the end of the workday to ensure timely completion of tasks.

- Upholding a positive departmental image by ensuring cleanliness of vehicles and proper attire for employees.

- Reviewing daily Work in Process Reports and Tickets Not Completed reports for the designated area.

- Ensuring proper upkeep of all service vehicles, heavy machinery, and trailers.

- Planning daily, weekly, and monthly activities for the Service Department.

- Reviewing upcoming projects with all stakeholders a week in advance to confirm all necessary parts are procured and organized. Discussing the Scope of Work and Quotes with the project lead.

- Addressing commissioning and registration challenges with suppliers.

- Directing employee actions by researching, developing, documenting, and updating Service Department policies, procedures, methods, and guidelines.

- Ensuring all Service Department personnel are trained on current systems, processes, and mobile billing procedures.

- Analyzing various supplier contracts to ensure compliance with service specifications.

- Evaluating Service Department personnel performance and providing feedback regarding promotions and salary adjustments.

- Collaborating with suppliers on special initiatives.

- Engaging with the existing customer base to address any needs they may have.

- Establishing new relationships with potential clients.

- Coordinating with warehouse staff on recommended inventory levels.

- Resolving billing discrepancies and customer grievances.

- Meeting and exceeding Service Department deadlines.

- Performing additional duties as assigned.
