Position: Administrative Assistant

Reagan Marine Construction, a prominent firm in marine construction and repair, is looking for a dedicated Administrative Assistant to enhance our operational support. In this role, you will be integral to the administrative processes associated with various waterfront projects, which include extensive state and federal marine undertakings as well as residential pier and dock construction. Your contributions will be vital in optimizing our office support functions and ensuring the smooth execution of marine construction projects.

Key Responsibilities:
  • Maintain and update project tracking logs (submittal, RFI, procurement)
  • Organize, track, and file invoices efficiently
  • Manage office supplies and ensure timely replenishment
  • Coordinate with our parent company for services such as cleaning, landlord relations, and IT support
  • Generate and monitor monthly billing statements
  • Assist in the initiation of new projects, including:
    • Preparing job startup sheets and organizing electronic and physical folders
    • Providing hospital directions and maintaining an emergency contact list
  • Handle phone calls and messages professionally
  • Oversee office filing and organization
  • Update and track contracts meticulously
  • Compile and monitor estimating leads from electronic sources
  • Support business development tracking efforts
  • Record weekly equipment hours and maintenance schedules
  • Distribute weekly schedule updates
  • Provide notary support as needed
  • Assist with estimating tasks
Qualifications:
  • Proficient in Microsoft Office Suite
  • Previous experience in administrative roles within the construction sector is preferred
