Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at San Diego Paint Pros. As a Project Coordinator, you will play a critical role in supporting our Project Managers, Superintendents, and Field Staff in the successful execution of commercial painting projects.

Your primary responsibilities will include managing all administrative aspects of painting projects, coordinating production schedules, communicating with clients and the Production Team, and maintaining accurate records and files. You will also be responsible for creating and sending project documentation, invoices, and warranty packets, as well as analyzing blueprints and evaluating specifications and proposals.

To be successful in this role, you will need to have excellent organizational skills, attention to detail, and the ability to work well under pressure in a fast-paced environment. You will also need to be highly proficient in MS Office, Excel, and cloud-based solutions, and have the ability to read and understand blueprints and specifications.

Key Responsibilities
  • Manage all administrative aspects of painting projects, including coordination of production schedules, client communication, and communication with the Production Team.
  • Create and send project documentation, invoices, and warranty packets.
  • Analyze blueprints and evaluate specifications and proposals.
  • Maintain accurate records and files, including project deadlines and deliverable work product timelines.
  • Research and procure materials and supplies for assigned projects.
  • Schedule on-site project meetings for the Project Manager or Superintendent.
  • Perform follow-up calls to completed projects to ensure client expectations have been met or exceeded.
Requirements
  • Project administration experience is a plus.
  • Commercial painting experience is a plus.
  • Experience in the home improvement industry is a plus.
  • Able to effectively coordinate a number of projects simultaneously.
  • Ability to individually prioritize and handle a large workload, when necessary, at a steady pace.
  • Good organizational skills and initiative.
  • Excellent oral, written, communication, and report-writing skills.
  • Demonstrated ability to work well under pressure in a fast-paced environment.
  • Highly proficient computer skills in MS Office, Excel, cloud-based solutions, apps, etc.
  • Capability of reading and understanding blueprints and specifications.
  • Attention to detail is required.
  • Ability to work diligently under minimal supervision.
  • Demonstrates initiative and problem-solving skills.
  • Contributes to the successful completion of project initiatives.
  • Focused on meeting or exceeding company key performance indicators.
  • First-class customer experience & completion of all processes.
