Business-to-Business Collections Specialist

We are seeking a highly skilled and detail-oriented Business-to-Business Collections Specialist to join our team. As a key member of our financial operations, you will be responsible for managing our accounts receivable process and playing a crucial role in our financial success.

Key Responsibilities:

  • Client Engagement: Establish and maintain strong relationships with business clients to collect outstanding payments in a professional and courteous manner.
  • Discrepancy Resolution: Thoroughly investigate and resolve billing and payment discrepancies in a timely and efficient manner.
  • Account Monitoring: Continuously monitor accounts to identify delinquent payments and take appropriate actions to ensure timely collection.
  • Relationship Building: Develop and maintain positive relationships with clients to facilitate smooth payment collections and ensure long-term business partnerships.
  • Dispute Investigation: Promptly investigate and resolve payment disputes and issues in a fair and professional manner.
  • Communication: Prepare and send collection letters and follow-up emails with a friendly yet professional tone.
  • Record Maintenance: Maintain accurate and up-to-date records of all collection activities.
  • Team Collaboration: Collaborate with the accounting and sales teams to ensure proper account reconciliation and optimize financial performance.
  • Reporting: Provide regular reports on collection activities and progress to management, highlighting areas for improvement and opportunities for growth.
  • Process Improvement: Identify process improvements and suggest strategies to reduce outstanding debts and enhance overall financial performance.

Qualifications:

  • Education: High school diploma or equivalent; bachelor's degree in finance or a related field is a plus.
  • Experience: Proven experience in business-to-business collections or a similar role.
  • Skills: Strong negotiation and communication skills, both written and verbal; exceptional problem-solving abilities; proficiency in Microsoft Office and accounting software (e.g., QuickBooks); excellent time management and organizational skills; ability to work independently and as part of a team; attention to detail and accuracy in record-keeping.
  • Knowledge: Knowledge of relevant laws and regulations related to collections is a plus.
