Position Summary
  • Oversee the procurement and shipping requests for laboratory supplies, including invoice management.
  • Research and liaise with suppliers to source specific items required for various projects.
  • Maintain accurate purchasing records, files, and vendor registration documentation.
  • Solicit and evaluate quotes for price comparison and vendor negotiations, preparing necessary documentation to facilitate the internal purchase order process in collaboration with the Finance Purchasing team.
  • Proactively track purchase order statuses, coordinating with vendors regarding estimated times of arrival and delivery schedules.
  • Log new orders into the JIRA system for tracking purposes and manage the lifecycle of entries within the system.
  • Maintain the Confluence space for the team, ensuring documentation of HR, legal, and project-related information is up to date.
  • Provide administrative assistance to the laboratory leadership and management, including HR functions such as onboarding and offboarding, as well as addressing employee relations matters.
  • Organize and facilitate team-building events.
  • Collaborate with Finance and Accounting departments for invoicing and payment processing.
  • Conduct physical audits and assist with regular inventory checks, supporting the asset management team.
  • Prepare for and manage incoming shipments, verifying packing lists against purchase details to ensure accuracy in received items.
  • Execute ad hoc tasks as directed by on-site management.
  • Foster and maintain professional relationships to meet and exceed client expectations in both routine operations and project initiatives.
  • Mentor and train team members, recommending improvements and modifications as necessary.
Compensation: $28 to $32 per hour

Qualifications
  • Proactive, hands-on individual comfortable managing multiple tasks within a collaborative team environment.
  • Minimum of 5 years of experience in procurement and inventory management.
  • Experience in administrative roles with strong spreadsheet proficiency.
  • Effective communication skills, both verbal and written, with the ability to engage professionally with diverse personnel.
  • Strong analytical and problem-solving capabilities.
  • Proven ability to meet deadlines and deliver results.
  • Exceptional organizational skills, keen attention to detail, and a methodical approach to procedures.
  • Able to work independently while being part of a larger global team.
  • Capable of multitasking in high-pressure environments and taking ownership of projects from initiation through completion.
  • Willingness to provide after-hours and weekend support as needed throughout the year.
Education
  • High School diploma or equivalent required.
  • Preferred: 2-year technical degree or equivalent professional experience.
  • Ability to quickly learn new technologies and a desire to expand knowledge as advancements arise.
  • Physical capability to lift up to 50 lbs.
  • Ability to transport servers between data centers and laboratories.
  • Proficient in Confluence, Microsoft Windows, and various Linux operating systems.
