Position Summary:
The Facility Operations Assistant plays a crucial role in supporting the Facility Manager by overseeing daily operational tasks. This position ensures a safe and welcoming environment for all patrons while serving as the primary contact for facility access. Responsibilities may evolve based on the needs of the department.
Key Responsibilities:
- Support the Facility Manager in executing various projects.
- Assist in managing facility services and operations.
- Oversee office facilities, including furniture and HVAC systems.
- Coordinate maintenance, repairs, and renovations for properties and equipment.
- Process office supply orders and manage inventory efficiently.
- Conduct daily inspections of the office environment.
- Facilitate space planning and internal relocations.
- Engage with building management and vendors as necessary.
- Ensure compliance with safety regulations and manage emergency protocols.
- Oversee mailroom operations, including mail distribution and supply management.
- Provide support for company events as directed.
- Be available for facility-related emergencies at all times.
Security Management Duties:
- Operate security systems and manage access control.
- Generate and maintain activity reports for security purposes.
- Oversee access card management and inventory.
- Address security issues in collaboration with relevant personnel.
- Coordinate fire evacuation procedures and monitor security footage.
Vendor Oversight:
- Verify vendor performance for maintenance and repairs.
Qualifications:
- Experience in building management or a related certification is preferred.
- Bilingual proficiency in Japanese is required.
- A minimum of five years of relevant experience in facility management.
- Familiarity with maintenance processes, particularly plumbing and HVAC.
- Knowledge of office systems and basic electrical work is advantageous.
- Strong organizational and problem-solving skills are essential.
- Excellent time management and multitasking abilities.
- Business-level proficiency in both English and Japanese is preferred.
