The primary responsibilities of the coordinator include efficiently managing patient check-outs and understanding their needs to effectively organize and schedule procedures.

KEY RESPONSIBILITIES:
  • Engage with all relevant parties regarding patient care and scheduling
  • Ensure all necessary documentation is collected and verified
  • Confirm that all authorizations are secured prior to scheduling
  • Manage and adjust patient follow-ups and procedure appointments
  • Coordinate transportation for patients as required
  • Provide patients with essential information and instructions ahead of their procedure
  • Follow up on all cancellations or no-show patients
  • Assist with patient check-out processes
  • Transmit prescriptions to pharmacies via fax or email
  • Facilitate patient flow through scheduled appointments
  • Handle incoming calls and address inquiries
  • Update patient records in the database
  • Willingness to travel between various locations as necessary
  • Flexibility in scheduling may be required to meet organizational needs
  • Perform other related duties as assigned
QUALIFICATIONS:
  • Proficient in administrative and clerical processes, including word processing and record management
  • Strong computer skills, particularly in Microsoft Office applications such as Outlook, Excel, Word, and eCW
  • Meticulous attention to detail and thoroughness in task completion
  • Ability to work independently with minimal supervision
  • Exceptional customer service skills and telephone etiquette
  • Professional communication skills with patients
  • Bilingual proficiency in English and Spanish
EDUCATION AND EXPERIENCE:
  • High School diploma; some college education preferred
  • 1-2 years of experience in a medical office scheduling environment
