Position Overview

The Virginia Cooperative Extension is in search of a meticulous individual with exceptional customer service abilities to join our team as a Human Resources Service Agent. This position will act as the primary contact for addressing inquiries from staff and stakeholders concerning benefits, recruitment, and various HR-related matters. A significant focus of this role will be on document management alongside the standard responsibilities of a Service Agent.

Key Responsibilities

  • Politely responding to phone inquiries and, when necessary, directing questions to relevant experts within the Human Resources department.
  • Efficiently managing inquiries through multiple communication channels, including in-person interactions, teleconferences, phone calls, and emails.
  • Collaborating effectively with a diverse range of individuals and groups within the community.
  • Reviewing assigned documentation to ensure adherence to policies, procedures, and applicable regulations.
  • Upholding the highest standards of confidentiality, particularly concerning Personally Identifiable Information (PII).
  • Contributing to or assisting with employee programs related to benefits and HR transactions.
  • Utilizing an advanced ticketing system to monitor customer inquiries, collect data, track response times, improve accuracy, and enhance the overall customer experience.

Essential Qualifications

Applicants should possess strong administrative and customer service experience within an academic or professional office setting. Proficiency in current office software, including Word, Excel, MS Teams, and Outlook, is required. Experience in managing confidential records is essential. Candidates must demonstrate the ability to work collaboratively with individuals from diverse backgrounds and possess excellent analytical skills to investigate and resolve discrepancies while ensuring data integrity. Strong communication and interpersonal skills are necessary, along with the ability to organize, plan, and prioritize tasks effectively in a fast-paced environment.

Desirable Qualifications

A Bachelor's degree in human resources, business administration, management, or a related field, or equivalent training and experience is preferred. Familiarity with interpreting and applying HR policies and procedures is advantageous. Experience with service management clients or customer service ticketing systems, as well as payroll and HR management systems, is beneficial. Knowledge of online applicant tracking systems is a plus, along with experience in a call center environment.

Compensation

Salary will be commensurate with experience, within a specified range.
