ASM Global, a leader in the management of public assembly venues, is seeking a Sales Operations Specialist to join our dynamic team.

ROLE OVERVIEW:
This role is pivotal in driving sales and marketing initiatives to optimize performance and achieve organizational goals, with a strong emphasis on the local market.

Key Responsibilities:

  • Overseeing the facility's booking system and ensuring its efficient operation.
  • Providing comprehensive support to the Director of Sales & Marketing.
  • Maintaining an inventory of marketing materials and notifying the Director when replenishment is necessary.
  • Drafting routine correspondence and managing filing systems for documentation.
  • Coordinating travel arrangements and managing expense reports.
  • Conducting research and compiling statistical reports, including monthly facility updates.
  • Organizing executive meetings, preparing agendas, and documenting meeting minutes.
  • Acting as a liaison between vendors, clients, and guests as required.
  • Updating and managing the internal insurance database, ensuring the accuracy of event contracts.
  • Overseeing data entry into the booking system, ensuring precision in booking information.
  • Tracking contracts, deposits, and insurance documentation.
  • Providing regular updates to the Director and sales team regarding pending contracts.
  • Assisting the Sales & Marketing department with booking inquiries from potential clients.
  • Creating and maintaining event files for both active and canceled events.
  • Managing administrative tasks related to sales, including database updates and report generation.
  • Drafting contracts and preparing event calendars.
  • Designing in-house event signage and managing file organization.
  • Participating in Sales & Marketing meetings as required.
  • Completing tasks assigned by the Director of Sales & Marketing.
  • Providing backup support for receptionist duties as needed.

Qualifications:
To thrive in this position, candidates must demonstrate proficiency in the following areas:

  • A Bachelor's degree and a minimum of one year of relevant experience is preferred.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Strong organizational and time management abilities, with a capacity to adapt to a fast-paced environment.
  • Proficiency in problem-solving and critical thinking.
  • Ability to learn and adapt to new software applications.
  • Proficient in Microsoft Excel and Word.

Physical Requirements:
The physical demands of this role include mobility within the facility, standing for extended periods, and effective communication. This position may require both indoor and outdoor work based on event needs.
