Overview of Facilities Operations Specialist

The Facilities Operations Specialist is tasked with the comprehensive planning, management, and upkeep of multiple facilities, including a large Distribution Center and Business Center that encompasses business offices, grounds, buildings, and equipment. This role ensures that all facilities are well-maintained and compliant with applicable safety and fire regulations, as well as federal, state, and local building codes, thereby providing a safe and comfortable environment for all personnel.

Key Responsibilities

  • Conduct both scheduled and unscheduled maintenance on equipment, addressing a wide range of maintenance challenges for all warehouse machinery, including but not limited to conveyors, racking systems, strapping machines, box makers, tape machines, and dock doors.
  • Serve as a technical resource for equipment maintenance enhancement initiatives.
  • Respond to building equipment emergencies as required.
  • Coordinate and communicate with external service providers and repair contractors, tracking all maintenance activities.
  • Develop and implement a preventative maintenance strategy, conducting inspections in line with the plan.
  • Maintain a log for forklift certifications.
  • Ensure a tidy work environment, collaborating with housekeeping contractors and reporting any deficiencies to management.
  • Actively engage in safety and compliance meetings, contributing suggestions for necessary improvements and routinely monitoring the facility for safety compliance.
  • Oversee and participate in the installation, maintenance, and repair of facilities, buildings, equipment, grounds, and office spaces.
  • Assist in formulating both short-term and long-term facility utilization strategies.
  • Establish operational and maintenance policies, procedures, and work instructions for facilities.
  • Prepare cost estimates and recommend the procurement of essential supplies.
  • Maintain repair logs for all building equipment.
  • Set up, arrange, and dismantle furniture and equipment for meeting and conference rooms, adhering to fire and safety regulations.
  • Facilitate the movement of furniture and equipment for cleaning or relocation as necessary.
  • Train warehouse staff on the safe and proper operation of warehouse equipment, including forklifts.

Qualifications and Requirements

  • 5 to 10 years of experience in facilities management, construction, corporate real estate management, or related project management fields.
  • A high school diploma or GED is required.
  • Proficient in MS Office applications, particularly Excel.
  • Familiarity with local and state codes, ordinances, and safety regulations.
  • Comprehensive understanding of building construction and associated trades.
  • Experience managing operations across multiple facilities and structures.
  • Knowledge of warehouse equipment, including conveyor systems and forklifts.
  • Ability to read, analyze, and interpret technical documents, safety rules, and operational instructions.
  • Proficient in writing routine reports and correspondence.
  • Capable of solving practical problems and addressing various concrete variables in situations with limited standardization.
  • Able to lift up to 50 lbs.
