Space Management Specialist

We are seeking a highly organized and detail-oriented Community Use Scheduler to join our team at InsideHigherEd. The successful candidate will be responsible for coordinating the use of college facilities, managing event requests, and ensuring seamless execution of events.
Key Responsibilities- Assign and schedule space requests for internal and external customers, including community members, students, faculty, staff, and government agencies.
- Determine eligibility for space use based on the College's policies and procedures, as well as profit or non-profit status.
- Communicate with various stakeholders, including administrators, faculty, staff, and external organizations, to obtain and provide information and arrange for room spaces.
- Input event information into the shared Community Use Calendar for internal support team members to review and consider.
- Collaborate with individuals for approval when reserving theatres, gyms, planetariums, swimming pools, and discipline-specific classrooms.
- Consult and collaborate with customers on space usage, costs, and College policies and procedures.
- Generate revenue by calculating and creating customer invoices, ensuring timely payment, and tracking and managing customer payments.
- Meet with Facilities Teams weekly to ensure all event requirements are understood and covered by the appropriate shifts.
- Perform general administrative support work and provide administrative support to the Director, Executive Associate, and Administrative Aide.
- Assist in training and supporting Student Aides.
- Schedule and coordinate the use of all passenger vans for administrators, faculty, and staff, reviewing requests and documentation for accuracy and compliance.
- Ensure drivers complete van request forms and record mileage before and after each trip, calculating and creating invoices for all college department charge-back through monthly billing.
- Collaborate with the MC Insurance Department to inform of any accidents or damage to vans while in use, and discuss with the Campus Fleet Department any service repairs or breakdowns of vans.
- Deliver outgoing departmental mail to the mailroom and pick up and distribute incoming mail.
- Answer incoming telephone calls, including covering the Helpdesk and answering phones for co-workers and the facilities director.
- Update and edit the facilities website.
- High School diploma or G.E.D.
- Two years of experience with computer software applications, office operations, report writing, and telephone etiquette.
- The equivalent combination of education, training, certification, and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
