Position Overview: The Director of Research Finance & Operations is responsible for leading and overseeing the financial management of grants within the Research Administration. This role ensures adherence to federal and state regulations, as well as compliance with various requirements.

The Director will be tasked with maintaining the financial and information systems that support the research initiatives of the Center, while also providing essential financial analysis and support for the Research Division.

As a healthcare institution, we prioritize the health and safety of our patients, staff, and community. Vaccination against influenza and COVID-19 is mandatory for all employees.

Key Responsibilities:

  • Analyze, monitor, and evaluate the Center's post-award sponsored research activities, including all federal and non-federal projects and contracts.
  • Maintain the Center's financial systems, including general ledger and fixed assets, to ensure robust accounting support for the Research Division.
  • Create and update research projects in the General Ledger and Research Administration Systems, maintaining comprehensive logs of all funding updates.
  • Provide detailed financial analysis, monthly reporting, and accounting support for the Research Division, presenting findings and recommendations to management.
  • Supervise two Research Finance Analysts and serve as a resource for other Fiscal Services staff.
  • Review and approve all non-personnel cost transfers, ensuring efficient and compliant administration of grants and contracts.
  • Develop tracking tools for expiring grants and deficit reports to effectively manage financial operations and prevent overspending.
  • Conduct monthly meetings with Research Administrators to review the research portfolio, address upcoming deliverables, and resolve any financial discrepancies.
  • Facilitate the resolution of grant account discrepancies and ensure timely closure of accounts for completed projects.
  • Prepare and reconcile draws on the Center's letters of credit through the DHHS payment management system.
  • Oversee the monthly closing of the Center's general ledger, ensuring accuracy and completeness of journal entries.
  • Prepare and certify reports for external entities, including Federal Financial Reports and non-Federal Financial Status Reports.
  • Monitor compliance with government regulations and grant stipulations, including sub-recipient monitoring of federal awards.
  • Act as the primary contact for auditors during the annual A-133 audit, preparing necessary documentation and ensuring compliance with grant sponsors and University policies.
  • Prepare budget templates and incentive calculations for Principal Investigators, closely monitoring the budget preparation process.
  • Ensure that expenditures are allowable and appropriately allocated, providing guidance to OSR Administrators on Research Finance matters.
  • Collaborate with the Office of Sponsored Research to create an efficient and compliant sponsored accounting operation.
  • Engage in special projects as directed by the Controller.
  • Perform other duties as assigned.

Qualifications:

  • BA or BS degree in Accounting, Business, Finance, or a related field; MBA preferred.
  • 5-7 years of significant experience in a financial office.
  • Accounting experience in a research or academic setting.
  • Familiarity with sponsored programs administration and higher education research administration is highly desirable.
  • Experience in managing personnel is preferred.
  • Strong accounting skills and a comprehensive understanding of financial principles and practices.
  • Knowledge of the regulatory environment for sponsored programs, including OMB circulars and federal grant policies.
  • Excellent interpersonal and communication skills, both written and oral.
  • Ability to manage multiple tasks effectively.
  • Advanced proficiency in Excel, Word, and Access; strong computer skills.
  • Exceptional attention to detail.
  • Advanced mathematical and analytical skills.
