Job Summary

Maintains and reviews the Board of Nursing's complaint email account, ensuring timely and accurate transfer of complaints to the Board's case management system. Organizes data and information, retrieves, prints, and updates information as directed by the supervisor from the compliance database.

Provides administrative support for public records requests, tracking progress, communicating with personnel, scanning, photocopying, emailing correspondence, and maintaining accurate records. Prepares records retention and disposal schedules and arranges record transfers.

Relieves the supervisor of routine administrative duties, independently composing and proofreading advisory letters, consent agreements, hearing letters, and other documents related to Ohio Revised Code (ORC) 119 hearings. Reviews and approves documents for supervisor and/or attorney staff members.

Performs non-routine administrative tasks, formulating decisions and judgments involving non-legal interpretation of policies and procedures to resolve problems. Represents the supervisor at meetings and conferences with other agencies or departments. Creates data reports to identify departmental status and trends, highlighting areas for improvement.

Performs other duties as assigned, including receiving, opening, logging, and distributing incoming mail; answering and screening telephone calls; greeting and directing visitors; maintaining general inventory of office supplies and ordering as needed; and maintaining files and retrieving information.

Qualifications

To be eligible for this position, applicants must have 30 months of experience or 30 months of training in the secretarial/administrative professional field. Alternatively, completion of associate core coursework in secretarial science or business office applications from an accredited career school or community college, with 12 months of experience in the secretarial/administrative professional field, is also acceptable. Applicants with equivalent experience or training may also be considered.

The ideal candidate will possess strong administrative support and services skills, including proficiency in office software and equipment. Excellent communication and organizational skills are also essential for success in this role.
