Job Overview

Position Summary

The Bookkeeper will play a crucial role in managing financial data and ensuring compliance by maintaining precise records of accounts payable and receivable, payroll, and daily financial transactions. This full-time, onsite role will divide responsibilities between both companies, which share the same facility and ownership.

Key Responsibilities:

  • Maintain financial records in accordance with generally accepted accounting principles, including journal entries, asset depreciation schedules, accounts payable, accounts receivable, and cash management.
  • Verify the accuracy of accounting records, track invoices and payments, and organize company documents systematically.
  • Manage Accounts Payable by monitoring purchase orders and invoices, coding invoices accurately, and processing payments promptly.
  • Review and reconcile credit card statements.
  • Handle Accounts Receivable by preparing and dispatching invoices to clients and ensuring accurate entry into the accounting system.
  • Communicate with clients to arrange payment for overdue invoices.
  • Prepare bank deposits for payments received and enter them into the accounts receivable system.
  • Maintain the General Ledger by entering information and reconciling basic accounts, preparing detailed journal entries, and conducting month-end reconciliations.
  • Run reports for management to provide insights on cash flow, budgeting, and other critical financial matters.
  • Assist in preparing documentation for audits and comply with federal, state, and local legal requirements.
  • Perform administrative tasks, including maintaining both paper and electronic files, sorting mail, and managing correspondence with customers and vendors.
  • Ensure a clean and orderly work environment while adhering to safety procedures.
  • Other duties as assigned.

Qualifications:

  • An Associate's degree in accounting or business administration, or equivalent experience, along with knowledge of bookkeeping and accounting principles.
  • Proven ability to manage accounting figures and financial records accurately.
  • Familiarity with MS Office applications and experience with spreadsheets and proprietary software.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently while fostering constructive relationships.
  • Excellent organizational skills and the capacity to manage multiple tasks effectively.
  • Ability to maintain confidentiality.

Physical Requirements:

This position requires the ability to sit for extended periods, with occasional standing, walking, and reaching. The employee must be able to use hands for computer operation and lift up to 10 pounds occasionally.

Work Environment:

The role is primarily office-based, with a quiet to moderate noise level.
