Overview

Position Summary

Welcomes all incoming patients and their families while executing administrative responsibilities. Manages appointment scheduling, carries out patient registration activities, handles cashier-related tasks, and performs various data entry and clerical duties.

Key Responsibilities

  • Handles multi-line phone systems, offering routine information to callers and patients, recording messages, and facilitating pages.
  • Contacts patients via phone to verify scheduling details and communicates any updates to the relevant staff members.
  • Conducts patient check-in and initial registration processes, ensuring forms are accurately completed.
  • Collects post-service charges and payments from patients, issuing receipts promptly.
  • Orders, tracks, and maintains all paper supplies, including retail items.
  • Processes incoming and outgoing correspondence and supply deliveries.
  • Organizes and maintains a systematic medical records filing system.
Physical Demands
The role requires reaching forward to operate telephones, typewriters, computers, copiers, and fax machines. It involves prolonged periods of sitting, frequent bending and pivoting for filing and office tasks, and occasional overhead reaching. The ability to lift documents or supplies weighing between 1-10 pounds frequently, 11-20 pounds occasionally, and 21-50 pounds rarely is necessary. Frequent use of fingers and both hands is required, along with clear verbal communication, and close-range hearing and vision (24 inches). The position is set in a dynamic office environment. Employees are expected to adhere to safety protocols. Hours may vary and can be irregular.

Qualifications

A High School Diploma or GED is preferred. At least one year of experience as a medical receptionist is advantageous. Familiarity with medical terminology, data entry, and computer skills is essential. Proficient typing and accurate spelling are required. Experience or knowledge of complementary and alternative medicine therapies is a plus. Strong oral and written communication skills, along with organizational, time management, professionalism, group facilitation, and customer service abilities, are necessary for success in this role.
