Key Responsibilities:

As a Parts Sales Associate, you will assist all customers and technicians by fulfilling their parts requirements while delivering exceptional customer service.

Essential Duties:

  • Assist all customers (both retail and shop) in selecting necessary parts in a friendly, professional, and efficient manner.
  • Manage incoming and outgoing phone communications.
  • Support outside sales personnel with technical, inventory, and pricing details.
  • Identify and document lost sales opportunities to maintain high inventory performance.
  • Consistently follow up on outstanding back orders and aging will-call items.
  • Process payments from retail customers or obtain credit authorizations.
  • Coordinate with delivery personnel for daily pickups and deliveries.

Additional Duties:

  • Review body shop estimates to ensure the accuracy of ordered parts and pricing alignment.
  • Pull and prepare orders from stock for local delivery and outside sales staff.
  • Restock incorrect or returned parts as necessary.
  • Notify the parts manager of out-of-stock items or shop materials requiring immediate attention.
  • Source, shop for, and order emergency non-stock items from local suppliers.
  • Communicate the status of special order items to all customers and service departments.
  • Prepare orders for service and body shops, ensuring all parts are tagged with customer names and job numbers.
  • Ensure that local special order parts are returned to vendors if not collected by customers.
  • Ensure all internal requests for parts are billed on service repair orders.
  • Confirm that all charge sales are signed by the customer.
  • Ensure that all customers receive their copy of the invoice.
  • Issue credits for returned parts, ensuring the original invoice or its number is available for verification.
  • Maintain organized records of all repair orders, invoices, insurance estimates, and special order parts.
  • Ensure the showroom and display area are fully stocked, clean, and orderly.
  • Keep front and rear counter areas clean and free of clutter.
  • Clean computer terminals and printers daily.
  • Maintain current training levels from all available resources.
  • Exhibit a professional appearance.
  • Solicit assigned accounts via phone.
  • Perform other duties as assigned by management.
