POSITION SUMMARY
Under the guidance of the Sales Operations Manager, this role involves a range of administrative and customer service responsibilities that necessitate a comprehensive understanding of clerical practices and the principles of effective customer service.
ESSENTIAL FUNCTIONS
- In SAP, facilitate the daily conversion of shipped packing slips into invoices, ensuring accuracy and incorporating any incurred Premium Freight costs.
- Adhere to customer-specific protocols by sending/uploading ASN information on a daily basis.
- Provide shipment details to customers as required.
- Establish and maintain efficient electronic filing systems, including scanning invoices and shipping documents into digital formats.
- Email international shipping documentation to clients and organize them into electronic folders.
- Respond to customer requests for shipping documents, such as bills of lading, packing lists, and invoices.
- Conduct daily updates to the Premium Freight Report.
- Maintain the Antaya Premium Freight Report in TEAMS on a daily basis.
- Submit all premium freight information to the Aptiv PTA system each day.
- Convert EDI delivery schedule receipts into Excel format as necessary.
- Regularly inventory and order office supplies and materials for internal staff as needed.
- Handle confidential information with utmost security.
- Comply with EMS and IATF 16949 Policies and Procedures.
- Perform additional duties as assigned by the manager.
KNOWLEDGE, SKILLS AND ABILITIES
- Familiarity with administrative and clerical practices and procedures.
- Capability to manage confidential and sensitive information.
- Proficiency in operating office technology and equipment (e.g., computer systems, calculators, telephone systems, scanners, postage meters, fax machines, copiers, etc.).
- Ability to effectively utilize various company-related systems and databases.
- Proficient in Microsoft Office applications.
- Skilled in collaborating with internal and external personnel, customers, vendors, suppliers, outside agencies, and the general public.
- Effective verbal and written communication skills.
- Adept at multitasking and prioritizing tasks to meet deadlines.
- Professionalism in handling inquiries and situations requiring courtesy and tact.
QUALIFICATIONS
- High School Diploma or GED equivalent; or completion of a technical/trade school program.
- A minimum of two (2) years of experience in office, clerical, and customer service roles is preferred.
- Experience with SAP is advantageous.
- Proficiency in reading, writing, and speaking English.
- Demonstrated skills in office applications such as MS Word, Excel, and Outlook.
