Walker Healthforce is actively looking for a Payroll Management Specialist to join our dynamic team. This full-time position will be responsible for overseeing payroll processes across multiple states, while also handling some human resources, billing, and accounts receivable tasks.

Key Responsibilities:

  • Manage the preparation and execution of weekly payroll for multiple states.
  • Handle minor bookkeeping duties, including accounts receivable, accounts payable, and journal entries, utilizing Microsoft Excel and QuickBooks (Desktop Enterprise edition).
  • Oversee onboarding processes and ensure accurate processing of new hire documentation.

Payroll Processing Duties:

  • Conduct weekly full-service payroll operations.
  • Maintain time and attendance records, including manual entries and imports.
  • Administer direct deposits and manage tax forms, garnishments, and miscellaneous deductions.
  • Prepare manual checks and communicate treasury liabilities associated with payroll.
  • Generate and analyze weekly and monthly payroll reports as needed.
  • Perform reconciliations related to payroll and benefits with the General Ledger.

Job Functions:

  • Evaluate payroll strategies and propose enhancements to streamline processes.
  • Deliver exceptional customer service to employees regarding payroll inquiries and deductions.
  • Process employee changes, including deductions, scheduled payments, and benefit enrollments.
  • Collect and organize timesheets and expense reports for contractors.
  • Audit payroll accounts to identify discrepancies and initiate necessary journal entries.
  • Respond to payroll-related inquiries from contractors.
  • Maintain payroll and payroll tax reports, ensuring accuracy and compliance with quarterly tax data in ADP Workforce Now.
  • Conduct month-end and quarter-end activities related to payroll and compensation.
  • Ensure the integrity of payroll records, including employee data, wages, and benefits.
  • Manage state registrations for payroll-related taxes and respond to inquiries from state agencies.
  • Prepare monthly and quarterly statutory reports for federal, state, and local agencies.
  • Track tax agency notifications and manage tracer payments until resolution.
  • Administer wage attachments and garnishments, coordinating with relevant vendors.
  • Process off-cycle checks and handle transaction follow-ups.
  • Audit payroll inputs and results, making corrections as necessary.
  • Support employee access to the ADP iPay portal.
  • Coordinate corrections for prior quarter/year tax data, including W-2 adjustments with ADP Payroll.

Required Qualifications:

  • Extensive experience with ADP or similar payroll systems.
  • In-depth knowledge of U.S. payroll regulations, reporting requirements, and multi-state payroll laws.
  • Intermediate to advanced proficiency in Excel and familiarity with other Microsoft applications.
  • Bachelor's Degree in Human Resources, Accounting, or a related field, or equivalent experience.
  • A minimum of 5 years of experience in managing and processing full-cycle payrolls.
  • Experience handling confidential information with discretion.
  • Strong communication skills, both verbal and written, particularly in sensitive situations.
  • Ability to thrive in a fast-paced work environment.
  • Excellent interpersonal skills.

Preferred Qualifications:

  • Experience with ADP Workforce Now.
  • 5+ years of experience processing payroll for a multi-state workforce.
  • Knowledge of employee benefits and labor laws.
  • Prior experience in billing and accounts payable/receivable.
  • Familiarity with QuickBooks or similar bookkeeping systems.
  • FPC or CPP Payroll Certification is a plus.
