Overview

The Parts Specialist plays a crucial role in assisting clients by accurately identifying required components, utilizing parts catalogs and digital systems, processing merchandise orders, and making necessary entries into the inventory management system. This position also involves distributing special order components, receiving warranty items, maintaining stock levels, and executing other responsibilities as assigned by the Parts and Product Support Manager.

Key Responsibilities

Sales Functions
  • Retrieve internal and external customer parts upon request.
  • Provide guidance to customers regarding alternative or modified parts as necessary.
  • Monitor and document lost sales.
  • Inspect returned items to ascertain defects and facilitate exchanges or refunds.
  • Ensure a tidy work environment daily (i.e., organizing parts, tools, and equipment, and removing trash).
  • Process payment transactions and reconcile the cash register.
Inventory Management
  • Receive and organize daily incoming shipments and stock orders.
  • Order non-stock parts for service needs.
  • Guarantee technicians receive the correct components based on demand.
  • Maintain records of part returns.
  • Handle monthly returns of low-usage items to the dealer.
  • Label and store parts in the stockroom following the established system.
  • Promptly restock unsold items and properly tag defective products for warranty processing.
  • Return unsold merchandise immediately to the appropriate stock location.
  • Ship all customer orders, both internal and external.
  • Manage loading and unloading of all LTL deliveries (excluding tractors) for Parts, Sales, and Service departments.
  • Alert the Parts Manager to any discrepancies between inventory records and physical counts.
  • Control expenses to enhance profitability.
Marketing Initiatives
  • Promote dealership specials and recommend parts and service sales.
  • Conduct phone sales in line with company guidelines and action plans.
Training and Development
  • Acquire a working knowledge of the Parts Inventory Control system.
  • Stay updated on new procedures for shipping, returning, and ordering parts.
  • Keep informed about new product bulletins and catalogs.
  • Participate in store meetings and training sessions.
  • Comply with all company policies and procedures.
Additional Responsibilities
  • Fill batteries with necessary fluids for Parts, Service, and Sales departments.
  • Deliver and collect parts for customers and vendors as required.
  • Assist with the annual physical inventory process.
  • Support other duties as assigned by corporate management in alignment with Murphy Tractor and Equipment Company's objectives.
Qualifications
  • Strong emphasis on customer service.
  • Ability to effectively promote and sell products.
  • Knowledge of machinery and tools, including their design, usage, repair, and maintenance.
  • Proficient in Microsoft Office and Internet applications.
  • Basic understanding of office equipment, including copiers, fax machines, and printers.
  • Effective communication skills tailored to the needs of customers and colleagues.
  • Strong attention to detail.
  • Ability to work collaboratively in a team setting.

  • Complete required documentation and reports promptly.

Physical Requirements and Work Environment

Must be able to work overtime, including evenings and weekends. Ability to stand for extended periods and lift up to 50 lbs repeatedly.

Education and Experience

A one-year certificate from a college or technical school or at least three years of relevant experience and/or training; or an equivalent combination of education and experience. Experience should include Shipping/Receiving, Parts Distribution, and proficiency in operating a Fork Lift.
