Key Responsibilities:
  • Collaborate with the Talent Acquisition team to facilitate comprehensive recruiting and onboarding processes for all agency roles.
  • Manage onboarding communications with new hires, scheduling feedback sessions to enhance the onboarding experience.
  • Work closely with the HR Team, Technology department, and hiring managers to ensure a successful onboarding journey.
Recruitment Duties:
  • Engage in recruitment activities including recommending sourcing strategies, reviewing resumes, prescreening candidates, and participating in interviews.
  • Support hiring managers by preparing offer letters and overseeing background checks and pre-employment drug testing.
  • Ensure timely initiation of background screenings and drug testing processes.
  • Develop effective advertising strategies and evaluate candidates through interviews.
  • Track and maintain recruitment statistics, providing weekly reports to HR leadership and business partners.
  • Assist in executing the employment branding strategy and participate in community and college recruitment efforts.
  • Engage in career fairs and related recruitment activities.
  • Support applicants with the online recruitment system, responding to inquiries regarding application statuses.
  • Coordinate pre-employment physicals and drug screens, as well as DMV reports for new hires.
  • Conduct pre-employment background checks, ensuring all forms are accurately completed and results are communicated appropriately.
  • Participate in outreach and field recruitment initiatives, including presentations.
  • Maintain up-to-date knowledge of EEO, ADA, FCRA guidelines, and state employment laws.
Onboarding & Training:
  • Facilitate the onboarding process from acceptance of the position to the new hire's start date, ensuring clear communication throughout.
  • Develop and maintain onboarding materials, ensuring compliance with policies and procedural updates.
  • Conduct new employee orientation, preparing necessary documents and materials, including benefits information and employee handbooks.
  • Organize and maintain employee files, ensuring accuracy and compliance.
  • Ensure a positive onboarding experience for new employees, providing guidance and support throughout the process.
  • Assist managers with new hire checklist requirements and schedule New Employee Orientation.
  • Participate in orientation activities and manage the assembly of orientation materials.
  • Update and maintain various logs and databases, entering necessary information into PeopleSoft.
Administrative Support:
  • Respond to general employee inquiries regarding policies and procedures.
  • Provide HRIS data entry support and general administrative assistance.
  • Assist the Talent Acquisition team with special projects and company initiatives.
  • Prepare and enter new employee data into PeopleSoft HCM, reviewing documentation prior to hire.
  • Manage initial user access setup for new hires in PeopleSoft HCM.
  • Oversee the HR Helpdesk, tracking and scheduling requests.
  • Support the Talent Acquisition Manager with departmental reports and scheduling as needed.
  • Ensure compliance with records management policies and procedures.
  • Perform additional duties as assigned by management to meet departmental needs.
Qualifications:
  • Strong interpersonal skills with the ability to relate to individuals at all levels.
  • Excellent writing and grammar skills, capable of producing accurate reports and correspondence.
  • Strong customer service and data entry skills, with a keen attention to detail.
  • Ability to manage multiple projects and tasks simultaneously in a fast-paced environment.
  • Knowledge of Federal, State, and employment regulations (EEO, ADA, FCRA, FLSA, Title VII, etc.).
  • Excellent written and oral communication skills, with the ability to present ideas effectively.
  • Strong organizational skills and the ability to work collaboratively in a dynamic setting.
Software Proficiency:
  • Intermediate to expert level in Microsoft Office Suite (Word, Excel, Visio, PowerPoint, Outlook, OneDrive) and Adobe Pro.
  • Experience with HRIS or Applicant Tracking Systems is essential.
Education and Experience:
  • Minimum of an Associate's degree from an accredited institution.
  • Two years of relevant professional experience in human resources, focusing on staffing, recruitment, and onboarding.
Licenses or Certifications:
  • Valid Driver's License required; Virginia Driver's License must be obtained within 60 days of hire if applicable.
  • Professional HR certification is preferred but not mandatory.
