Junior Sales and Customer Relations Assistant

SUMMARY: Support the Customer Service and Sales teams by preparing essential reports, engaging with clients, and managing customer portals. Responsibilities include order processing and handling incoming calls.
II. KEY RESPONSIBILITIES: Generate overdue reports, monitor consignment orders and requests for quotes (RFQs) as needed. Manage and maintain EDI quantities and adjustments; oversee Zemford and Emfor systems. This role ensures that all necessary documentation and instructions are available for order processing, including order entry, document control, maintenance, confirmation delivery, and filing. Update orders according to negotiations and priorities, and create and manage scheduling agreements. Verify freight costs on orders before invoicing. Maintain the orders email and retrieve purchase orders from customer portals. Responsible for generating and updating various reports, including Monthly Sales reports, daily open orders reports, overdue reports with action plans, and consignment order tracking. Assist in pricing evaluations, seat costing, strategic sales planning, sales forecasting, and annual pricing assessments. Perform additional tasks as assigned. Comply with the Isringhausen Integrated Management System (IMS) and uphold product quality standards, both internally and externally (Customer Specific Requirements).
Understanding and Authority: Possess the authority to halt production and shipment of products due to quality concerns.
Requirements
IV. QUALIFICATIONS: Proficient in writing reports, business correspondence, and procedural manuals. Strong oral and written communication skills are essential. Familiarity with PowerPoint, Word, Excel (highly desirable), and other sales software is preferred. Excellent organizational, interpersonal, ethical, and business acumen skills are required.
V. EDUCATION AND EXPERIENCE: A minimum of two years of relevant experience and/or training; or an equivalent combination of education and experience. Knowledge of contract management, databases, internet navigation, order processing spreadsheets, and word processing software is necessary.
VI. LANGUAGE SKILLS: Proficiency in English is required.
VII. MATHEMATICAL SKILLS: Basic mathematical skills are necessary.
VIII. REASONING ABILITY: Must possess the ability to analyze situations and demonstrate sound judgment.
IX. PHYSICAL DEMANDS: Capability to sit or walk frequently.
X. WORK ENVIRONMENT: Office setting.
