Job Summary:

The Receptionist will provide exceptional customer service and administrative support to our team at Starfish Family Services, Inc. This role is responsible for greeting visitors, answering phones, and managing front desk operations.

Key Responsibilities:

  • Provide warm and welcoming demeanor to all visitors, team members, and families.
  • Answer phones, respond to inquiries, and route calls to appropriate team members.
  • Take messages and pass them on to applicable staff in a timely manner.
  • Request and accept payments from consumers and provide receipts.
  • Process all money received from clients or in the mail with cash reconciliation.
  • Administer, monitor, and collect Quality Assurance Surveys.
  • Conduct customer service portion of the Intake with consumers.
  • Schedule consumers with doctors and confirm appointments.
  • Maintain waitlists for psychiatric appointment cancellations and notify clients.
  • Coordinate and communicate with clinicians to problem solve and manage client requests.
  • Work collaboratively with outpatient therapists and other team members to ensure clients receive necessary services.
  • Upload materials in case records in a timely and accurate manner.
  • Open and date stamp mail and distribute to appropriate staff.
  • Check consumers in, update client information, and perform data entry.
  • Type correspondence and reports from written drafts.
  • Facilitate records request/release process for behavior health.
  • Cooperate in investigations and assist in emergency situations.
  • Attend agency, departmental meetings, and trainings as required.
  • Provide on-the-job training to new employees.

Requirements:

  • Excellent interpersonal skills and a pleasant, professional telephone and reception manner.
  • Knowledge of HIPAA and other laws related to Release of Information.
  • Ability to accurately enter data into agency electronic health record and external databases.
  • Strong problem-solving and critical thinking skills.
  • Ability to work cooperatively and responsibly as a member of a team.
  • Ability to plan and organize time effectively and adjust to new work structures.
  • Ability to manage multiple priorities and demonstrate good follow-through.
  • Resourcefulness, flexibility, and adaptability in daily scheduling.
  • Ability to communicate effectively both orally and in writing.
  • Ability to give and receive constructive feedback.
  • Computer literacy and working knowledge of Microsoft Office Suite.
  • Commitment to the welfare of the children and families served and to the delivery of quality services.

Licensing and Other Requirements:

  • Valid driver's license and/or reliable transportation.
