Job Overview

We are seeking a highly organized and detail-oriented Program Support Specialist to join our team at Oak Ridge Associated Universities, Inc. in Ada, OK.

The successful candidate will be responsible for providing administrative support to the Groundwater Characterization and Remediation Division (GCRD) at the Environmental Protection Agency (EPA). This includes managing databases, spreadsheets, and logistics of government resources, as well as providing general assistance to the CESER/GCRD/IO and its members.

Responsibilities include:

  • Database and Spreadsheet Management: Design, implement, maintain, analyze, and present data within database and spreadsheet systems.
  • Administrative Support: Provide general assistance to the CESER/GCRD/IO and its members, including copying, deliveries, answering phones, mail-outs, and other tasks as needed.

Additional Responsibilities:

  • Shipping and Receiving: Reconcile items in shipments with purchase orders, notify GCRD Purchase Card Holders when purchase orders are missing items, and ensure accurate inventory management.
  • Property Management: Assist with identifying and decaling newly purchased government property, conduct equipment surveys, and maintain accurate inventory records.
  • Supply Room Maintenance: Organize and maintain the GCRD Supply Room, enter information from Supply Room Requisitions into the GCRD Supply Portal, and ensure accurate tracking of supply orders.
  • Vehicle Monitoring: Maintain DVUR Forms and Gas Receipts, prepare Vehicle Operations Reports, check vehicle condition, and report any issues to the Local Fleet Manager.
  • Mail Services: Pick up, sort, and deliver incoming mail, process and deliver outgoing mail, and facilitate on-site delivery and exchange of compressed gases and cryogenic dewars.

Requirements:

  • Advanced Microsoft Office Skills: Proficiency in Excel, PowerPoint, Word, and Outlook required.
  • Administration Experience: Previous experience in administration support functions, recordkeeping, filing, and managing electronic and hardcopy records or databases.
  • Leadership and Organization Skills: Strong leadership and organizational skills, ability to handle multiple assignments with competing deadlines, and excellent written, oral, and electronic communication skills.

Location: The job is located in EPA's facility in Ada, OK.

Estimated Salary: $23.13 per hour (based on location and industry standards).

Hours and Travel: Full-time position with occasional travel may be required.
