Our Need

Due to our ongoing expansion, Grain Millers is in search of an Import Operations Coordinator for our headquarters. This role is essential in managing the complete importation process, encompassing documentation, sampling, and delivery logistics, while ensuring adherence to regulations and facilitating effective communication.

Collaboration

In this role, you will engage with a diverse array of professionals, including suppliers, freight forwarders, customs brokers, and regulatory bodies such as CBP, FDA, and USDA. You will also liaise with clients, addressing their inquiries, processing orders, and overseeing logistics. Furthermore, you will assist team members, participate in team meetings, and contribute to special projects, playing a vital role in the success of the Specialty Products team.

Your Profile

You are a meticulous professional with experience in import operations, skilled in managing import processes, documentation, and compliance with regulatory standards. Your customer service skills are exceptional, allowing you to effectively address inquiries, process orders, and manage logistics. You possess strong administrative capabilities, including contract verification, document management, and proficiency in inventory control software and Microsoft Office. Basic accounting knowledge and the ability to calculate rates and understand foreign exchange are also part of your skill set, enabling you to support daily operations and special projects. Excellent verbal and written communication skills are essential, and knowledge of Spanish is advantageous.

  • Manages various components of the importation process, ensuring accurate documentation and communication with suppliers, freight forwarders, customs brokers, and regulatory agencies (CBP, FDA, USDA).
  • Oversees pre-shipment sampling and loading procedures.
  • Coordinates the final delivery of shipments to clients using multiple transportation methods.
  • Receives, reviews, and approves documentation from international suppliers.
  • Calculates tariff duties, price conversions, and the weight and volume of imported goods.
  • Processes payments to suppliers, brokers, shipping companies, and other stakeholders in the supply chain.
  • Communicates with clients via phone regarding general inquiries, orders, shipments, and products.
  • Receives and relays orders to relevant parties while coordinating and processing client orders.
  • Verifies sales orders for accuracy in pricing and delivery timelines.
  • Reviews and validates shipping documents against contracts and generates invoices.

Qualifications

  • High School Diploma, with 1 - 2 years of experience in import operations. A Bachelor's degree in business or a related field is preferred.
  • Outstanding customer service abilities (friendly, courteous, respectful, and helpful).
  • Knowledge of Spanish is a plus.
  • Proven problem-solving skills and the ability to manage challenging customer interactions professionally.
  • Proficient in basic accounting principles and capable of performing calculations.
  • Strong computer skills (Word, Excel, and Outlook), along with presentation and data management capabilities.
  • Excellent oral and written communication skills.
  • Ability to calculate rates and understand the fundamentals of foreign exchange.
  • Detail-oriented with a proactive approach to identifying and addressing irregularities.
