Key Responsibilities

  • Reception duties
  • Support for facilities management
  • Assistance with inventory and procurement
  • Processing of mail (incoming and outgoing)
  • Setup and catering for meetings and conferences

Reception Duties:

§ Handle all reception-related tasks, including managing calls and greeting visitors.

§ Professionally meet, greet, and announce visitors.

§ Receive and sign for deliveries at the reception area.

§ Ensure visitor identification aligns with security protocols and provide necessary safety information.

Facilities Management Support:

§ Monitor and respond to emails as directed by the Facilities Manager.

§ Maintain cleanliness and organization of office spaces, communicating additional cleaning needs as necessary.

§ Assist with the upkeep of office equipment, scheduling maintenance as required.

§ Coordinate with building management and vendors for repairs and maintenance.

§ Accompany vendors during their visits to the office.

§ Ensure vendor services meet quality standards.

§ Understand and assist with various facilities service processes to maintain high service levels.

§ Report any network issues promptly.

§ Support additional facilities service activities as needed.

Inventory and Procurement Assistance:

§ Manage courier services to ensure timely processing and delivery of items.

§ Oversee office supply inventory and place orders as necessary.

Meeting and Conference Support:

§ Ensure meeting rooms are equipped with necessary supplies and functioning equipment.

§ Conduct regular maintenance checks on meeting room equipment.

§ Provide support for large meetings, including catering and special equipment arrangements.

§ Maintain high housekeeping standards in all meeting and conference areas.
