OVERVIEW

The Facilities & Operations Coordinator plays a crucial role in overseeing operational, facility, and administrative tasks to support various departments within the organization. This position requires a high level of initiative, independent judgment, and the ability to manage multiple projects efficiently while maintaining confidentiality and discretion.

KEY RESPONSIBILITIES
  • Assist the Treasurer in managing the operational budget, including production, maintenance, and forecasting.
  • Provide essential operational data for monthly billing and reconciliation processes.
  • Resolve disputes related to outstanding accounts receivable.
  • Maintain organized office files, both electronic and physical, including legal documentation.
  • Oversee inventory management for access keys and office supplies.
  • Coordinate mail services for internal and external communications.
  • Process business expense reimbursements for staff as needed.
  • Support the administration and research of lease and service agreements, ensuring proper documentation.
  • Manage database content and assist in the preparation of board packets.
  • Participate in marketing initiatives and ensure compliance with federal operating standards.
  • Schedule and oversee public warehouse operations, including inventory management.
  • Conduct research on potential customers and facilitate introduction meetings.
  • Assist with contract compliance for tenants and service providers.
  • Compile and analyze data for capital budgets across departments.
  • Generate various reports on a regular basis and manage purchase orders in the procurement system.
QUALIFICATIONS
  • A degree from an accredited institution is preferred.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to perform all physical and cognitive tasks as outlined in the job description.
LICENSES AND CERTIFICATIONS
  • Valid driver's license with a clean driving record.
  • Must pass airport and TSA security screenings.
  • Ability to perform essential job functions without posing a safety risk.
WORK ENVIRONMENT AND PHYSICAL DEMANDS

This role involves a mix of office work and exposure to outdoor conditions. The employee must be able to walk, sit, and use hands for various tasks, with occasional lifting of up to 25 pounds. Reasonable accommodations may be made for individuals with disabilities to perform essential functions.
