POSITION OVERVIEW

The Facilities & Operations Coordinator plays a pivotal role in ensuring the smooth operation of facilities and administrative functions. This position supports the General Manager and various departments, requiring a high degree of initiative, independent judgment, and discretion in managing diverse tasks and projects. The ideal candidate will excel in prioritizing multiple responsibilities and maintaining confidentiality while effectively communicating and managing documentation.

KEY RESPONSIBILITIES
  • Assist the Treasurer in overseeing the operational aspects of the budget, including production, maintenance, and forecasting.
  • Provide essential data for monthly billing and inventory reconciliation.
  • Facilitate dispute resolution regarding outstanding accounts receivable.
  • Maintain comprehensive office files, both electronic and physical, including legal documentation.
  • Oversee inventory management for access keys and office supplies.
  • Coordinate mail services for internal and external communications.
  • Process expense reimbursement forms for staff as needed.
  • Support the administration and research of lease agreements and service contracts.
  • Manage database content and assist in the preparation of board meeting materials.
  • Contribute to marketing efforts by preparing materials and presentations.
  • Conduct compliance audits for federal operations.
  • Oversee warehouse operations, including scheduling and inventory management.
  • Research potential clients and facilitate introductory meetings.
  • Ensure compliance with contract terms for tenants and service providers.
  • Assist in capital budget data entry and reporting.
  • Manage purchase orders and procurement processes.
QUALIFICATIONS
  • A degree from an accredited institution or relevant coursework.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to perform the physical and cognitive tasks required for the role.
LICENSES AND CERTIFICATIONS
  • Valid driver's license with a clean driving record.
  • Ability to pass airport and TSA security screenings.
  • Capability to perform essential job functions without posing a safety risk.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
