The Construction Administrative Coordinator is a vital member of our program management team, responsible for providing administrative support to ensure seamless project execution. As a key player in this role, you will be working closely with internal and external stakeholders to process submittals, validate documentation, and maintain accurate records.
Responsibilities
- Process contractor-submitted information for construction projects, ensuring all required documentation is attached to work orders.
- Validate permits and pre-requisites are satisfied, and interact with Power BI dashboards and Tableau reports for accountability and project tracking.
- Support program email management, facilitating communication between process owners and stakeholders.
- Provide general project team support, executing tasks within various systems, such as Maximo, work order system of record, for efficient task management and data processing.
Requirements
We are looking for an individual who:
- Has 2+ years of experience in progressive administrative support and secretarial positions or equivalent combination of education and experience.
- Possesses strong interpersonal skills, including professional and diplomatic communication, patience, and understanding.
- Is comfortable with technology, particularly Excel and Microsoft Office Suite, and has a good comfort level with Outlook and work order management systems.
- Can multitask, prioritize tasks, and manage time effectively to meet deadlines.
Preferred Qualifications
- Experience in construction administration, project management, or utility operations.
- Familiarity with OPUC, municipalities in Oregon, NESC standards, private communications, UG locates, easements, and right-of-way concepts.
- Proficiency in Excel, RFI processing/management, or construction/construction project management experience.
