Position Summary: The Financial Counselor plays a crucial role in guiding patients through their financial options. This position involves educating patients about payment alternatives, assisting with financial and insurance inquiries, providing cost estimates, and collaborating with various departments to address any financial challenges related to care. Key responsibilities include assessing pre-appointment financial and insurance requirements, managing payment plans, collecting payments, and connecting patients with community resources or grants.


Key Responsibilities: The essential duties for this role encompass the following tasks. Additional responsibilities may be assigned as necessary:

  • Review the daily schedule to confirm all financial and insurance information is complete before services are provided.
  • Proactively collaborate with insurance providers, front desk staff, and the Outreach and Enrollment Coordinator to identify potential financial or insurance obstacles prior to appointments.
  • Determine insurance eligibility and assist patients with insurance applications.
  • Engage with patients to explain financial assistance options and establish payment plans. Monitor these plans and follow up with patients who miss payments.
  • Calculate and communicate cost estimates for Dental, Medical, and Mental Health services.
  • Address inquiries regarding patient statements and work with the billing and insurance department to resolve any issues.
  • Manage all incoming calls related to billing and insurance questions.
  • Calculate and document sliding fee scale discounts based on patient income and clinic guidelines.
  • Identify and reach out to scheduled patients whose financial assistance is set to expire within the next month.
  • Contact self-pay patients with pending financial assistance applications to remind them to submit necessary documentation.
  • Identify new patients, those needing annual financial assistance renewal, eligible for special programs, or those with outstanding debts.
  • Accurately process patient payments.
  • Ensure proper financial classification in accordance with federal poverty guidelines.
  • Maintain a cooperative and supportive work environment within the department and across the organization.
  • Demonstrate regular and reliable attendance, adhering to the assigned schedule.
  • Commit to continuous quality improvement initiatives.
  • Stay updated with evolving technology, including relevant software and industry-specific programs.
  • Complete additional duties or projects as assigned.
  • Uphold and promote all organizational policies and procedures.

Qualifications:

  • Associate's Degree (AA) or equivalent from a two-year college or technical school; or six months to one year of related experience and/or training; or a combination of education and experience.

Language Proficiency:

  • Ability to read and interpret documents such as safety regulations, operating instructions, and procedural manuals. Proficient in writing routine reports and correspondence. Capable of effectively communicating before groups of customers or employees.

Mathematical Skills:

  • Ability to perform calculations involving discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Proficient in applying basic algebra and geometry concepts.

Reasoning Skills:

  • Ability to apply common sense understanding to execute instructions provided in written, oral, or diagram form. Capable of addressing problems involving multiple concrete variables in standardized situations.
