Job Title: Assistant Property Manager

At BGSF, we are seeking a highly organized and detail-oriented Assistant Property Manager to join our team. As an Assistant Property Manager, you will play a critical role in ensuring the smooth operation of our commercial properties.

Key Responsibilities:
  • Develop and maintain positive relationships with tenants, vendors, and contractors.
  • Manage accounts payable/receivable for each property, including coding of invoices and entry into the accounting system.
  • Receive tenant calls and enter service requests into the work order system, dispatching to building engineers as needed.
  • Assist the Property Manager with the bid process of contracted services.
  • Prepare commencement notices and rent commencement letters.
  • Assist the Property Manager in preparing the annual budget and escalations, CAM, Tax, and Insurance billings to tenants.
  • Responsible for rent collections.
  • Conduct property inspections and ensure that all physical aspects of the property are at all times fully functional and maintained in an attractive condition.
  • Update and prepare monthly rent roll reports.
  • Assist in supervising capital improvements projects.
  • Prepare annual CAM billings and assist with prior year true-up.
  • Manage all lease administration and rent roll accuracy.
  • Review monthly variance reports, tenant ledgers, and aged-receivable detail.
  • Manage property risk effectively by communicating incidents and potential liabilities.
Requirements:
  • Previous commercial property management experience required.
  • Working knowledge of commercial office building leases.
  • Strong working knowledge of the MS Office suite.
  • Excellent verbal, written, communication, and interpersonal skills.
  • Excellent organizational and time management skills, including proficiency in evaluating and prioritizing issues.
  • Strong attention to detail.
  • Ability to work well under pressure and against tight deadlines.
  • Effective at multi-tasking.
  • Experience with Yardi, PM 2000, or similar property management/accounting software program a plus.
  • Experience with Net Facilities Work Order or similar program a plus.
  • Experience with managing facilities-related personnel, particularly in the field of commercial property maintenance and janitorial responsibilities.
Education and Experience:
  • High School Diploma required, Associates Degree preferred.
  • Minimum of one to two years of commercial property management experience required.
Physical Demands:

This position will require standing, walking, typing, sitting, reaching, kneeling, stooping, crouching, balancing, pushing, pulling, and driving for extended periods of time, and the ability to lift up to 25 lbs if necessary.
