The Mail Operations Clerk is responsible for adhering to detailed procedures while executing a variety of repetitive clerical tasks. These tasks are performed in a specified or slightly altered sequence, including the organization and filing of documents within a comprehensive alphabetical system. Responsibilities may also include basic postings to individual accounts, mail handling, calculating and recording charges to departmental accounts, and operating essential office equipment such as photocopiers, facsimile machines, multi-line phone systems, and mailing devices. While specific subject-matter expertise is not required, the clerk must exercise judgment in selecting the appropriate procedure for each task.

Key Responsibilities:
  • Sorts incoming mail (first-class and bulk) according to designated mail codes.
  • Maintains daily mail counts to verify the arrival and delivery of all standard mail.
  • Delivers and secures signatures for all accountable mail to the designated recipient within two hours of receipt.
  • Conducts quality control checks to ensure mail is directed to the correct delivery location.
  • Distributes and collects mail during two scheduled deliveries each day.
  • Operates mailing software and equipment, including UPS WorldShip and CampusShip.
  • Ensures safety by adhering to equipment usage protocols and safety policies.
  • Completes all required training as mandated by Didlake.
  • Processes various types of accountable mail, including Federal Express and UPS.
  • Re-addresses undeliverable mail using available directories and databases.
  • Prepares outgoing interoffice and pouch mail for distribution.
  • Receives, sorts, and distributes newspapers to intended recipients.
  • Acts responsibly with Didlake and Government resources.
