Position Summary

The Claims Recovery Administrative Support Specialist plays a crucial role in providing comprehensive administrative assistance to attorneys and paralegals within the Claims Recovery Team. This position entails the preparation of standard correspondence and reports, database management, meeting coordination, and status tracking of cases to ensure adherence to both client and firm protocols.

Key Responsibilities

  • Facilitates the initiation of new matters by preparing necessary documentation, ensuring precision and thoroughness.
  • Generates and oversees client quarterly reports, guaranteeing prompt and accurate distribution.
  • Develops weekly tracking documents for review by senior team members, integrating feedback into final summaries for attorney distribution.
  • Monitors the progress of all matters and prepares client authorizations as needed, ensuring compliance with established guidelines.
  • Establishes and maintains an organized filing system for efficient data retrieval and updates records as required.
  • Composes retention letters, engagement confirmations, status updates, and other routine communications, while entering and maintaining relevant data in internal systems.
  • Maintains accurate contact information and related data in Interaction and MCL Management databases.
  • Handles incoming and outgoing correspondence as necessary, prepares Abbreviated Trackers for attorney approval, and follows up to ensure timely completion.
  • Coordinates meetings, conferences, and appointments, preparing all necessary materials and tracking invitations and RSVPs for departmental events.
  • Arranges travel logistics by securing air, hotel, and car reservations, ensuring cost-effective and timely travel for team members.
  • Documents and preserves call notes from client meetings, ensuring accuracy and prompt completion.
  • Serves as a backup for various tracking spreadsheets, including retention tracking charts and other firm databases.
  • Acts as a backup for tracking engagements and maintaining status in the Retention Chart database.

Qualifications

Skills and Competencies

  • Ability to uphold strict confidentiality regarding sensitive office information.
  • Exceptional verbal and written communication skills with both internal and external stakeholders.
  • Capability to adhere to established processes while adapting to shifting priorities.
  • Proficient in the Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Meticulous attention to detail with strong spelling, grammar, and punctuation skills.
  • Ability to work effectively both independently and collaboratively in a positive and innovative environment.
  • Capacity to manage a demanding workload and meet deadlines efficiently.
  • Typing proficiency of 50+ words per minute.
  • Willingness to work overtime as required.

Education Requirements

A Bachelor's Degree is required for this position. Equivalent training and experience may be considered in lieu of formal education.

Experience Requirements

A minimum of two (2) to three (3) years of relevant corporate and/or administrative experience is required, demonstrating applicable knowledge, skills, and abilities for the role.

The firm is committed to equitable compensation practices in compliance with applicable laws. Salary for this position ranges from $44,000 to $58,000, with potential additional compensation through discretionary bonuses. Compensation may vary based on location, market data, individual skills and experience, relevant degrees and certifications, and other factors.
