The Guest Services Coordinator serves as the primary point of contact for members and visitors, embodying the Ultimate Service Promise through exceptional customer care. This role is essential in assisting members with their needs and facilitating membership inquiries.


KEY RESPONSIBILITIES:
Customer Interaction
  • Warmly welcomes members and guests upon arrival and departure.
  • Handles incoming calls with professionalism and efficiency, ensuring calls are directed to the appropriate departments.
  • Manages member check-ins and verifies membership status; enrolls members in group fitness or specialized classes.
  • Guides prospective members to the membership department for registration.
  • Addresses member inquiries or redirects them to the appropriate personnel for further assistance.
  • Promotes and sells supplements, apparel, and other retail products available at UFC Gym.
  • Processes transactions using the POS system, ensuring accurate change is provided.
  • Maintains a professional demeanor at all times, refraining from non-work-related activities.
  • Responds to requests and inquiries from guests, members, and staff in a courteous manner.
  • Informs members about special events and activities at the club.
  • Reports any unsafe conditions or emergencies to management immediately.

Administrative Duties
  • Ensures the front desk and lobby area are kept tidy and organized.
  • Follows opening and closing procedures for the front desk as assigned.
  • Participates in monthly meetings and other scheduled gatherings.
  • Assists with inventory management and product pricing as needed.
  • Contacts members regarding overdue payments and outstanding balances.
ORGANIZATIONAL STRUCTURE: The Guest Services Coordinator reports to the Front Desk Lead and Operations Manager, interacting with various levels of management and staff within the organization.

QUALIFICATIONS:
1) Skills and Abilities:
  • Energetic with a friendly, outgoing personality and a positive attitude.
  • Strong interpersonal and communication skills, including telephone etiquette.
  • Customer service-oriented with a focus on member satisfaction.
  • Ability to follow oral and written instructions accurately.
  • Capable of multitasking while maintaining attention to detail.
  • Team player with a proactive approach to tasks.
  • Adherence to scheduled breaks and accurate timekeeping for shifts.

2) Educational Requirements:
  1. High school diploma or GED is required.
  2. Current CPR/AED certification is necessary.
3) Experience:
  1. Minimum of 6 months of customer service experience in a health club, retail, hospitality, or food service environment.
  2. Experience managing multiple phone lines is preferred.
  3. Basic computer proficiency is required.

4) Physical Requirements:
  • Must be able to stand, reach, stoop, kneel, crouch, or crawl as needed.
  • Occasional lifting or moving of items up to 25 pounds.
  • Ability to remain on feet for the duration of the shift.
