Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at HFW Companies. This role is responsible for providing exceptional administrative support to our office operations, ensuring seamless daily activities and exceptional customer service to clients and visitors.
The ideal candidate will possess excellent communication and interpersonal skills, with the ability to multitask and prioritize tasks effectively. Proficiency in Microsoft Office Suite and office management software is a plus.
Key Responsibilities:
- Reception Duties:
- Welcoming visitors and clients in a professional and friendly manner.
- Answering phone calls and taking messages promptly and accurately.
- Managing incoming and outgoing mail and deliveries.
- Maintaining a tidy and presentable reception area.
Administrative Support:
- Assisting with scheduling and coordinating meetings and appointments.
- Preparing and distributing correspondence, memos, letters, and forms.
- Maintaining office supplies inventory by checking stock and ordering items.
- Assisting with updating and maintaining office policies and procedures.
- Assisting in the preparation of reports and presentations.
- Organizing office work-related travel arrangements for office personnel.
- Carrying out other routine administrative tasks such as typing, copying, binding, scanning, etc.
- Handling sensitive information in a confidential manner.
Data Entry and Record Keeping:
- Inputting and updating information into databases and spreadsheets.
- Organizing and maintaining paper and electronic files.
General Office Support:
- Monitoring and maintaining office equipment, including coordination for repair and services and supplies.
- Handling requests and queries from leadership, senior management, and key staff.
- Making coffees and maintaining the kitchen area.
- Assisting in the organization of office events, meetings, and conferences.
- Assisting to manage and post company content on social media accounts.
- Performing other relevant duties as needed.
Requirements:
- High school diploma or equivalent; associate's degree or relevant certification is a plus.
- Experience in an administrative, office assistant, or receptionist role is preferred but not required.
- Proficiency in typing.
- Adequate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge and proficiency in office management software is a plus.
- Organizational and time management skills.
- Verbal and written communication abilities.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- Professional demeanor and customer-focused attitude.
Working Conditions:
- Full-time position (40 hours per week), Monday to Friday.
- Office-based role with occasional flexibility for additional hours or tasks as needed.
