We are currently seeking a motivated Billing and Collections Specialist to enhance our accounting department. This role is crucial in ensuring timely payments for the services we provide to our clients.

Key Responsibilities:
  • Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
  • Generate invoices in accordance with company standards and distribute them to clients.
  • Maintain and update customer records, including any changes in contact information or account status.
  • Draft communications for overdue accounts and collections, identifying delinquent accounts through file reviews and contacting clients to secure payments.
  • Create reports detailing the current status of customer accounts as needed.
  • Investigate customer discrepancies and overdue amounts with the support of the Controller and other team members.
  • Collaborate with the Controller to reconcile accounts receivable on a monthly basis.
  • Assist in generating monthly billing statements based on the general ledger.
  • Support the Controller in reconciling revenue accounts each month.
  • Manage the filing and retrieval of accounts receivable documents as required.
  • Communicate updates and changes to relevant staff members.
  • Perform additional related duties as assigned.
Qualifications:
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite and accounting software, particularly Excel.
  • Ability to operate office equipment, including computers and calculators.
  • Capable of working independently in a fast-paced environment.
  • Proactive in anticipating work needs and interacting professionally with clients.
  • Exceptional organizational skills and attention to detail.
  • Familiarity with AIA Forms, Certificates of Insurance (COIs), and CIP Programs is a plus.
Education and Experience:
  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Accounting is preferred.
  • A minimum of two years of relevant experience is required.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 15 pounds occasionally.
Work Environment:
  • Office-based work with varying temperatures.
