This role is pivotal in delivering comprehensive administrative, secretarial, and human resources assistance, primarily for our Newport Beach office, while also extending support to additional locations as needed.
Key Responsibilities:
- Manage front desk operations, welcoming visitors and directing them to the appropriate personnel.
- Coordinate and arrange complex schedules, including meetings, travel, conferences, and various organizational activities.
- Provide high-level support to the Senior Leadership Team, managing calendars, travel arrangements, and expense reporting through Concur.
- Assist the People and Culture team with diverse tasks, including recruitment coordination and performance management documentation.
- Organize in-office events such as health fairs and DEI initiatives, including meal setup for large gatherings.
- Oversee the management and distribution of annual labor law posters across multiple offices.
- Support the delivery of People & Culture training sessions, including DEI and workplace safety training.
- Create and design visual presentations for senior leadership.
- Maintain office subscriptions and manage incoming mail distribution.
- Prepare conference rooms for both internal and external meetings.
- Coordinate the procurement and logistics of office furniture.
- Act as a liaison for building management, including emergency response coordination and safety training.
- Lead special projects, which may involve planning and coordinating presentations and disseminating information effectively.
Qualifications:
- A Bachelor's degree or a combination of relevant experience and education.
- 3-5+ years of experience in office administration with a strong understanding of office procedures.
- Proficiency in various software applications, including Word, Excel, Outlook, and PowerPoint, as well as experience with Concur.
- Exceptional interpersonal skills to manage sensitive and confidential matters with professionalism.
- Analytical skills to compile and summarize data for reports and resolve administrative challenges.
- Meticulous attention to detail in composing, typing, and proofreading materials while managing priorities and deadlines.
- Ability to juggle multiple projects in a fast-paced environment while maintaining strong organizational skills.
- Strong commitment to providing excellent internal and external customer service.
Work Environment:
The Office Operations Coordinator will work in a climate-controlled office setting and will be required to remain at a desk and computer for extended periods. This position necessitates in-person attendance at the office three days a week.
