Role Purpose:

We are looking for a Full-Time Legal Operations Coordinator to enhance our corporate department. This role will report directly to the Co-Chair of the department and is essential in managing the legal operations, focusing on supporting associates, coordinating schedules, and overseeing client interactions. You will play a key role in problem-solving, updating the Co-Chair on project developments, and ensuring efficient workflow.

Key Responsibilities:

  • Act as the primary contact for client relationships.
  • Identify and implement process enhancements to improve service quality and operational efficiency.
  • Establish and maintain systems for tracking assignments, workflows, and legal file statuses to ensure deadlines are met.
  • Facilitate effective communication with clients and internal teams, including training and support for Salesforce users, managing data, generating reports, and ensuring data security.
  • Collaborate with Department Attorneys to oversee workflow and assignments, including file management procedures.
  • Monitor billing processes, keep the legal team informed about billing matters, and assist with accounts receivable efforts.
  • Support marketing initiatives by creating content for social media and presentation materials, and aiding in speaking engagements.
  • Process invoices, manage calendars, schedule meetings, and maintain contact lists.
  • Engage in various projects and initiatives and assist in onboarding new team members.

Qualifications:

  • A minimum of 3 years of experience in legal support, ideally within Corporate Law and Corporate Transactions.
  • A Bachelor's degree from an accredited institution, with a focus on legal studies or a related discipline.
  • Proficient in MS Word, Excel, and Outlook, with a capacity to quickly learn new applications; intermediate to advanced computer skills, particularly with document management systems (NetDocuments preferred).
  • A proactive approach with sound judgment in a dynamic legal environment.
  • Outstanding organizational and communication skills, both written and verbal, with meticulous attention to detail and strong proofreading abilities.
  • Capability to work independently, manage multiple projects concurrently, consistently meet deadlines, and maintain professionalism in communication.
