**Job Summary:**

The Finance and Operations Manager is responsible for overseeing all operational administrative functions within Qualigence International and its entities. This includes Accounts Receivable/Accounts Payable, Human Resources, Reporting & Administration. The ideal candidate will continuously review processes and ways to push the business forward in an efficient manner.

**Key Responsibilities:**

Finance Operations
  • Ensure all day-to-day Finance operations are done accurately, efficiently, and timely, including all Accounts Receivable, Accounts Payable, and reporting.
  • Ensure Accounts receivables are kept under 10% of open balance.
  • Ensure that all contracts, Statements of Work, client/vendor setup, RFPs are done appropriately, efficiently, and timely.
  • Ensure there is an expense process in place and all expenses are approved accordingly.
  • Ensure payment of all bills, invoices, and credit card transactions are logged appropriately, paid timely, and filed away correctly.
  • Ensure bank and credit card reconciliations are done within 5 business days of the close of month.
  • Provide accurate reporting on a regular and as needed basis to the entire organization and leadership team, edited for appropriateness.
Human Resources Operations Management
  • Oversee day-to-day HR operations are being done accurately, efficiently, and timely, including onboarding, salary and benefits management, retirement administration, payroll, reporting, posting, documentation, compliance, and employee relations.
  • This individual will need to understand and lead an administrator that is responsible for all the following:
  • Onboarding new staff, including employment letters, benefits, and retirement.
  • Maintain personnel files, including I-9s, W-2s, and salary and benefit records.
  • Serve as the primary contact for employees regarding payroll, benefits, and PTO.
  • Prepare letters to employees to reflect their hiring, contract renewal, promotion, and departure from the organization.
  • Unemployment Insurance, Workers Compensation, and other state documents are handled correctly.
  • The Internal Recruiting process, including facilitating internal job postings, identifying and sourcing candidates, conducting initial screenings, and scheduling follow-up interviews with hiring managers.
  • Handle all employee HR-related issues ensuring that the correct procedure is followed on disciplinary action and grievance procedures.
Additional Responsibilities
  • Any other administrative needs for the company, such as supporting ordering supplies, stocking, answering phones, greeting guests, incoming and outgoing mail, etc.
  • Commit to making the development of your team a top priority.
  • Confirm all processes are reviewed for efficiency improvements regularly. Continuously research alternative solutions to enhance processes, systems, etc.
  • Ensure you and your team are all cross-trained.
  • Accept additional responsibilities as necessary.
