Job Title: Property Management Assistant
Estimated Salary: $50,000 - $60,000 per year

We are seeking a highly organized and communicative Property Management Assistant to join our team at the Namdar Realty Group. As a key member of our commercial property management team, you will be responsible for coordinating repairs and construction with building representatives, maintaining positive communication with building tenants, and assisting Property Managers with monthly compliance checks.

In this role, you will work closely with building managers, engineers, vendors, and sub-contractors to maintain workflow and coordination of work. You will track service contract expiration dates, maintain work order tracking documentation, and assist with any tenant correspondence as it relates to work orders, maintenance, facilities, and general questions. Additionally, you will assist with move-in/move-out processes, including filing tenant and vendor information, notifying tenants of upcoming work at the buildings, performing building walkthroughs, and assisting with Accounts Payables.

To succeed in this role, you must have a strong understanding of property management procedures, including legal requirements. You should possess working knowledge of Microsoft Office Suite, Word, Excel, and an understanding of leases. A proven ability to handle multiple tasks simultaneously, attention to detail, and ability to be a team player are essential. Responsibilities:
  • Maintain positive communication with building tenants while responding to service requests and coordinating repairs and construction with building representatives
  • Assist Property Managers with monthly compliance check by providing review reports and issues
  • Work with Property Managers and other team members on all areas of property management, scheduling, and job oversight
  • Work closely with building managers, engineers, vendors, and sub-contractors to maintain workflow and coordination of work
  • Track service contract expiration dates
  • Maintain work order tracking documentation to ensure each work order is initiated, completed, and billed accurately
  • Assist with any tenant correspondence as it relates to work orders, maintenance, facilities, and general questions


Qualifications:
  • An associate degree or equivalent, (bachelor's preferred) or 3+ years of relevant experience
  • Working knowledge of Microsoft Office Suite, Word, Excel, and understanding leases
  • Proven knowledge and understanding of property management procedures including legal requirements
  • Working knowledge of capital and operating budgets
  • Strong organizational and time management skills
  • Ability to handle multiple tasks simultaneously
  • Attention to detail
  • Ability to be a team player
