Position Summary:

The Support Clerk position is a non-exempt role that operates under the general supervision of the Operations Manager or their delegate. This role encompasses a range of clerical and administrative responsibilities, including file management, record keeping, report generation, and communication with consumers and care providers.

Key Responsibilities:
  1. Provide comprehensive administrative assistance as directed by the Operations Manager or their representative.
  2. Ensure adherence to all departmental and organizational protocols, including coordinating pre/post-employment assessments and training sessions.
  3. Manage documentation through transcription, recording, faxing, and filing.
  4. Direct incoming correspondence to the relevant departments for resolution.
  5. Support the distribution of materials to consumers and care providers, updating agency software and documents as necessary.
  6. Act as a communication bridge for consumers and care providers, offering information, following up on compliance documents, and addressing any issues that arise.
  7. Handle confidential information with care, following established retention schedules to maintain privacy.
  8. Regularly review and organize departmental files to ensure accessibility and proper storage.
  9. Prepare, compile, and disseminate reports while maintaining designated reporting databases.
  10. Organize and maintain consumer and care provider folders as required.
  11. Sort and manage original timecards at the end of each pay period, ensuring timely submission to the Billing Department.
  12. Track departmental changes through calendar development and maintain an updated census of consumers and care providers.
  13. Maintain ongoing communication with human resources, operations, and respite services departments.
  14. Assist in preparing monthly supply requests for the department.
  15. Participate in meetings, training sessions, and seminars relevant to the functional unit.
  16. Strive to deliver outstanding customer service and accurate information consistently.
Additional Responsibilities:
  1. Support other administrative functions within the organization as needed.
  2. Assist with quarterly meetings for care providers.
  3. Attend vendor meetings and recruitment events as required.
  4. Provide backup support for the front desk or reception area.
  5. Contribute to departmental projects as necessary.
  6. Attend mandatory meetings punctually.
  7. Assist with COVID testing for care providers when required.
Qualifications:
  1. High school diploma or equivalent (GED) with a minimum of six months of office or clerical support experience.
  2. Proficient in reading, writing, and communicating effectively in English and Spanish (bilingual preferred).
  3. Typing speed of at least 30 words per minute and basic arithmetic skills.
  4. Knowledge and experience in developmental services.
  5. Strong attention to detail and a commitment to customer service excellence.
  6. Exceptional organizational, time-management, and problem-solving abilities.
  7. Proficient in MS Office Suite (Excel, Outlook, PowerPoint, Word, Teams) and familiarity with digital signature platforms.
  8. Ability to operate standard office equipment, including computers, calculators, copiers, and fax machines.
  9. Experience with video conferencing and online communication tools.
  10. Valid California Driver's License.
